Setup

Connect your mailbox

Try saying

Set up my email

To connect your email, open /tools in the chat and tap Add Email. Daniel Trackman will walk you through 10 short prompts — your email address, password (or app password), and the IMAP and SMTP server details your provider uses. Just answer each one and you're connected.

Find your provider settings

Try saying

What are the IMAP settings for Gmail?

You'll need your provider's IMAP and SMTP server, port, and security type. For Gmail: enable 2-Step Verification, create an App Password in your Google Account, and enable IMAP in Gmail settings. Use imap.gmail.com (port 993, SSL/TLS) and smtp.gmail.com (port 587, STARTTLS). For other providers, check their help page for IMAP/SMTP details.

Policies

Reading policy

Try saying

Set read policy: check my inbox when I ask

After connecting, Daniel Trackman won't touch your inbox until you set a read policy — a standing instruction like "Check my inbox when I ask." This keeps you in control of when and how Daniel Trackman accesses your mailbox.

Sending policy

Try saying

Set send policy: send emails when I ask, add my signature

Sending is off by default. You create a send policy with your own rules — for example, "Send emails when I ask, always sign off with 'Best regards'." Daniel Trackman never sends without your saved instruction and never auto-replies to incoming messages.

Usage

Read and summarize

Try saying

Check my inbox for unread emails from the electrician

Ask Daniel Trackman to check your inbox, find emails from a specific contractor, or summarize a quote thread so you get the key numbers without reading the whole chain.

Compose and reply

Try saying

Email the plumber to ask when he can start the rough-in — we're targeting next Monday

Tell Daniel Trackman who to write to and what to say — he drafts the message and sends it from your account. Useful for following up on quotes, confirming delivery dates, or nudging a trade who hasn't responded.

Automations

Mark and organize

Try saying

Flag that contractor quote email and mark it as unread so I don't forget to compare it

Ask Daniel Trackman to flag important quotes, mark permit emails as read, or tag a message as answered after you've dealt with it. Changes sync back to your mail client automatically via IMAP.

Scheduled check-ins

Try saying

Every morning, check my inbox and tell me if there are any unread emails from contractors or suppliers

Set up a recurring inbox check — a morning digest of unread quotes and supplier updates, or an alert when your GC or permit office writes in. Set it once, and Daniel Trackman handles it every day.
